Privacy contact: Gmaps Local Search is the data controller for personal data covered by this notice. For privacy questions or requests, email info@gmapslocalsearch.co.uk or call 07365 229 106.
This policy explains how we handle personal information when you use this website, request a Google Business Profile audit, reserve a service or become a customer.
Information we collect
Depending on how you use our services, we may collect:
- Your name, business name, email address and telephone number.
- Business location, website, Google Business Profile link, service area and other business details you provide.
- Your answers and results when you complete our Google Business Profile audit.
- Reservation details, service selections and records of your acceptance of applicable terms.
- Technical information associated with form submissions, such as IP address, browser or device information and submission time, where this is recorded by our hosting or security providers.
- Payment and transaction references. Full payment-card details are entered directly into Stripe and are not stored by Gmaps Local Search.
How and why we use information
- Enquiries and audit requests: to respond to you, provide an audit or take steps you request before entering into a contract. We rely on steps taken at your request before a contract and, where appropriate, our legitimate interests in responding to genuine business enquiries and maintaining appropriate records.
- Providing services: to set up, optimise or manage services you purchase from us, communicate with you and administer the customer relationship. We rely on performance of our contract with you.
- Business administration: to maintain transaction, accounting and service records and to meet legal or regulatory requirements. We rely on legal obligations and, where appropriate, legitimate interests.
- Security and fraud prevention: to protect our website, forms, systems and customers against abuse, fraud or misuse. We rely on our legitimate interests in keeping our services secure.
- Service communications: to send information directly connected with an enquiry, audit, reservation, payment or service you have requested.
If we rely on legitimate interests, those interests include operating and improving our business, responding to customers and prospective customers, keeping appropriate records and protecting our systems. We consider these interests against your privacy rights.
Automated audit results
Our interactive audit may calculate a score and recommendation from the answers you submit. This is designed to provide practical, informational feedback about a Google Business Profile. It is not used to make a decision that has legal or similarly significant effects on you.
Who we share information with
We use selected service providers to operate the website and deliver our services. Depending on your interaction with us, personal data may be processed by:
- Netlify for website hosting, serverless functions and website form storage.
- Zoho CRM to record and manage enquiries, audit requests, reservations and customer relationship information.
- Google Workspace for business email and communications.
- Resend for transactional audit emails and related service messages.
- Stripe for secure payment processing and recurring-payment administration where applicable.
We may also disclose information to professional advisers, regulators, law-enforcement bodies or other organisations where reasonably necessary to establish, exercise or defend legal rights or where disclosure is required by law.
International transfers
Some service providers may process information outside the United Kingdom. Where personal data is transferred internationally, we expect the relevant provider to use a lawful transfer mechanism, such as UK adequacy regulations or appropriate contractual safeguards, where required. You can contact us for further information about safeguards relevant to your data.
How long we keep information
We keep personal data only for as long as it is reasonably needed for the purpose for which it was collected. When deciding retention periods, we consider the nature of the enquiry or customer relationship, whether follow-up is reasonably expected, contractual and accounting requirements, security needs and applicable limitation or legal periods. Customer, transaction and financial records may be retained for the period required by applicable tax, accounting and legal obligations. When information is no longer required, we delete it or anonymise it where appropriate.
Your data-protection rights
Depending on the circumstances and the lawful basis being used, you may have rights to request access to your personal data, correct inaccurate information, request erasure, restrict processing, object to processing and receive certain information in a portable format. Where processing is based on consent, you may withdraw that consent at any time without affecting processing that took place before withdrawal.
Your right to object: where we rely on legitimate interests, you may object to that processing. You have an absolute right to object to personal data being used for direct marketing.
To exercise a privacy right, email info@gmapslocalsearch.co.uk. We may need to verify your identity before acting on a request.
Complaints
If you have concerns about how we use your personal data, please contact us first so we can try to resolve them. You also have the right to complain to the UK Information Commissioner's Office (ICO). You can find current complaint information at ico.org.uk/make-a-complaint.
Reservation and payment information
When you reserve a service, we may collect your contact details, business details, Google Business Profile status, service selection and your acceptance of our terms and any recurring-payment arrangement. Payment-card information is entered directly into Stripe's secure checkout and is handled by Stripe under its own privacy and security terms.
Changes to this policy
We may update this privacy policy when our services, suppliers or legal obligations change. The date at the top of this page shows when it was last updated.
